This is a quick glimpse in the design and functionality of the agency login side of Surety Bond Pro Tools. Keep in mind, only a small sample of features are shown here. Full documentation with full instructions will be done using online video tutorials prior to launch. The agency login side is where your agents will perform all of their daily operations with the system. Please see below for screenshots and descriptions of basic functionality.


Keep in mind, what you see here will be implemented seemlessly into your agency's existing website template!


Please note: While our system is in it’s final stages of testing, aesthetic changes will still be made prior to launch. What you see here is very similar to what you will see as the final product, but small improvements may be made prior to launch.






Search functionality


The system gives you a variety of ways to search for your principals and brokers. Please note that all search results and be exported to several different common formats including Microsoft Excel Spreadsheets.


Search by principal


When searching for a principal, you can search by their company name, email, or the contact listed with the principal.





Search by owner


You can also search by the owner’s last name or by their social security number.





Search by bond


Searching by bond allows for different parameters that may be of use for follow-up calls and other bulk activities.





Search by broker


Since the system allows you to sign-up brokers under your agency, we created functionality to list all principals from a specific broker.









Principal Functionality


The primary screen your agents will be working in can be seen below. This is what is displayed when you click on a specific principal within the system. It is also where all of your changes to the principals will be made.


Principal Display


The basic information is displayed on this screen for the contact, bond, and owner information. The full details of each can be accessed via the ‘edit’ link.


The principal’s have the ability to add additional bonds to their account with ease, but your agent’s can do the same should you receive a paper application you want to input. Your agents can also edit and add owners to a principal as necessary.


This screen is also where you will change the status of bonds. Whenever a status of a bond is changed, the contact email for the principal is notified instantly with any necessary attachments included automatically (e.g. indemnity agreements).


The green “Pro Tools Quote” button will allow you to see what can be offered to your agency from our sponsor carriers’ credit based quotes. The system pulls credit and offers you a quote instantly should the principal qualify. There is no obligation to use this feature and your principal will only be given the quote if you choose to do so.






Approving a principal


The system still allows you to work with your regular surety markets. Changing a bond status to approved is simple using the bond status dropdown box. Other bond statuses are available as well and adjust accordingly depending on what status you are currently in. Pending info is used when an applicant has yet to send in required supporting documentation like business financial statements. Pending approval is used to let your client know that your received all that is needed, but are waiting on an approval from surety.





Approving a principal


When you change a bond status to ‘approved’, you will be sent to a new screen asking for pertinent approval information such as: the surety, the writing company within the surety, the surety’s rate, which indemnity agreement is needed, and agency fee rate (optional field). The system will be customized to your agency, only displaying the sureties you work with. The indemnity agreements and commissions earned will also be stored in the system during setup. This will allow the system to calculate the offer to the principal and email it to them along with the indemnity agreement you chose. The system properly labels the company and owner information for all indemnity agreements sent.





Issuing a bond


Issuing a bond is equaly as easy as approving one! Simply change the bond status to 'active'. From there you are brough to a screen that requests information on how the bond will be shipped. If the bond you are issuing is in our bond library it will be auto-filled using the principal's information. If the bond form is not found in the library, you have the option of sending it to us to include in the system. After the bond form is auto-filled, the principal is emailed informing them that their bond will be shipped and the shipping/tracking information on it.
